You're Buying an Exhibit. How Long Are You Buying It For?

You're Buying an Exhibit. How Long Are You Buying It For?

There's a trade show on the calendar, a budget to work within, and a deadline that isn't getting any farther away. You need an exhibit that looks good, does its job, and preferably doesn't require a lengthy conversation with accounting.

So you compare options, review designs, get quotes, and make a decision based on what you know today. Perfectly reasonable.

Except the exhibit you're buying today may still be traveling to events years after the marketing strategy that inspired it has been replaced. Your show schedule could change. Your products could change. The person who approved the original purchase might have moved on to an entirely different career.

The display, meanwhile, is still yours.

And that's where the economics of exhibit ownership get interesting.

The Price Is Easy. The Value Takes Longer to Figure Out.

The purchase price is usually the first number you consider, partly because it's the easiest one to compare. Two exhibits might look similar in a rendering, offer comparable features, and have very different price tags.

It's tempting to assume the less expensive option is the better deal. Sometimes it is.

But the initial purchase is only one part of what you'll spend. Shipping, storage, installation, dismantling, repairs, and replacement components all contribute to the cost of ownership. How often you exhibit determines how quickly those expenses accumulate.

An exhibit that costs less upfront but requires more labor, larger shipping cases, or frequent replacement parts may eventually cost more than one with a higher initial price.

Of course, an exhibit that lasts twenty years isn't necessarily a bargain if you stop using it after three. Durability matters, but so does having something worth keeping.

Your Exhibit Has to Keep Up With You

Think about how much can change in five years.

Your company might introduce new products, enter different markets, or change how its sales team interacts with customers. The 10×10 space that once worked beautifully may give way to a 10×20. Or you might decide that several smaller regional events make more sense than one large national show.

Your event calendar has a funny way of changing its mind. And it rarely consults the exhibit you already own.

That's where flexibility starts earning its keep.

A modular exhibit can accommodate different space sizes without requiring an entirely new purchase. Portable components can make it easier to support multiple events. And a design that allows you to change how the space functions can remain useful as your priorities evolve.

You may not need that flexibility immediately. But when someone decides next year's program should include three new shows and two different space sizes, it's nice to have options that don't involve starting over.

Same components. Different configurations. Bühler's exhibit adapts from a 20×20 to a 20×30 space.

Sometimes Ownership Is the Expensive Part

Buying an exhibit is the easy part. Then you have to figure out where to keep it, how to get it across the country, and who has custody of the one component that somehow never makes it back into the correct case.

Between events, someone still has to maintain the display, track its components, and arrange transportation for the next show. Depending on the exhibit, those costs can continue even when it isn't being used.

If you're attending a one-time event, testing a new market, or occasionally need a larger space than usual, renting deserves consideration.

Rentals can give you access to a professionally designed exhibit without committing to long-term ownership. You still need to account for rental fees, shipping, and installation, but you avoid some of the expenses and responsibilities that come with keeping the display.

For frequent exhibitors, purchasing may offer better value over time. For others, renting can provide flexibility without tying up capital in equipment that spends much of its life in storage.

And sometimes the smartest approach is a combination of both.

There's Such a Thing as Buying Too Much Exhibit

We spend a lot of time discussing what happens when companies cut corners on their exhibits. There's another side to that conversation.

You can also spend more than you need to.

An elaborate exhibit with custom features, integrated technology, and substantial installation requirements might be exactly right for a company with an ambitious event program. But those same features can become expensive obligations if your needs are relatively simple.

If your team can accomplish its goals with a portable display that sets up quickly and travels economically, adding complexity doesn't automatically improve the experience.

The question isn't how much exhibit you can afford. It's how much exhibit your program requires.

Think Beyond the Next Event

Nobody can predict exactly what their trade show program will look like ten years from now. Even planning two or three years ahead involves a certain amount of educated guessing.

But you probably know more than you think.

You know how frequently you exhibit, which events matter most, and whether your space requirements tend to change. You have a reasonable idea of how your products are evolving and what your team needs to accomplish when meeting customers.

That's a much better starting point than simply comparing price tags. An exhibit that serves you well for twenty years can be an exceptional purchase. So can a rental that meets your needs for three days.

The trick is knowing what you're paying for, how long you'll need it, and whether it will still make sense when your next event calendar looks nothing like this one. Because if there's one thing you can count on in trade shows, it's that the calendar won't stay the same.
